2. What we collect
Contact form: your name, your email address, your company name if you choose to give it, your message, the language of the page you used and your confirmation that you read this policy.
Emails you send us: your email address, the content of the message and anything you decide to attach.
Technical data: when you visit the site, our web server records your IP address, the date and time, the page requested, the referring page and your browser's user agent in standard access logs. To limit abuse of the contact form, we also keep a salted, one-way hash of your IP address together with the time of each submission.
We do not use analytics, advertising pixels, social media plugins or tracking cookies. We do not buy personal data and we do not collect special categories of data. Please do not send sensitive information through the form.
3. Why we use it and on what legal basis
To answer your enquiry and, if you ask for it, to prepare a proposal: steps taken at your request before entering into a contract (GDPR art. 6(1)(b)) and your consent given in the form (art. 6(1)(a)).
To perform a contract with you or your company once signed (art. 6(1)(b)) and to keep the business and tax records the law requires (art. 6(1)(c)).
To keep the website and the form secure and to prevent spam and abuse: our legitimate interest in protecting our systems (art. 6(1)(f)).
We do not use your data for automated decision-making or profiling, and we do not send marketing emails unless you separately ask for them.
4. Who receives your data
Form submissions are delivered by email to our mailbox info@icpdigitalco.com. The website, the form handler and the mailbox are hosted on servers operated for us by our hosting and technical provider in a data centre in Germany (European Union).
We do not sell, rent or share your personal data with third parties for their own marketing. We may disclose data when required by law, by a court order or to protect our legal rights.
5. International transfers
ICP Digital LLC is a United States company and the website is hosted in the European Union. When we read and answer your message from the United States, your data is transferred outside the European Economic Area. We protect it with access restricted to the people who handle enquiries, encrypted connections (HTTPS and TLS for email) and, where required, the European Commission's standard contractual clauses.
6. How long we keep it
Enquiries that do not lead to a contract: up to 24 months after our last exchange, then deleted.
Data related to a contract: for the duration of the contract and afterwards for as long as tax, accounting and legal limitation periods require.
Web server access logs: rotated weekly and deleted after about five weeks.
Form abuse-prevention hashes: deleted after one hour.
Data stored in your own browser (see the Cookie Policy) stays there until you clear it.
7. Your rights (GDPR and UK GDPR)
You can ask for access to your data, correction, deletion, restriction of processing, data portability and you can object to processing based on legitimate interest. You can withdraw consent at any time without affecting processing carried out before. Write to info@icpdigitalco.com; we answer within one month. You may also complain to the data protection authority of your country.
8. Your rights in the United States
Depending on the state where you live (for example California under the CCPA/CPRA, or Colorado, Connecticut, Virginia, Utah, Texas and others), you may have the right to know what personal information we collect, to access it, to correct it, to delete it, and to opt out of its sale, sharing for cross-context behavioural advertising or profiling. We do not sell or share personal information and do not use it for targeted advertising. To exercise a right, write to info@icpdigitalco.com. We will verify your request using the email address you used to contact us, will not discriminate against you for exercising your rights and accept requests from authorised agents with proof of authorisation.
9. Security
The whole site is served over HTTPS. The form only accepts requests from this website, validates every field, limits the number of submissions per connection and sends nothing to third-party services. Access to the mailbox is protected by password and encrypted connections. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.
10. Children
This website and our services are aimed at businesses. We do not knowingly collect data from anyone under 16.
11. Changes
We will update this policy when the website or our processing changes. The date at the top shows the latest version.
